Rezi24 — Online Reception SaaS for German Doctors' Offices

We designed and built Rezi24 — a GDPR-compliant healthcare SaaS that gives German medical practices an online reception: patients book appointments 24/7, reception teams field fewer calls, and everything runs on German data centres. Website and full multi-tenant web application, from concept to launch.

Walk into the reception of a busy German medical practice mid-morning and you'll see the same scene play out that plays out in thousands of practices across the country. The phone rings constantly. A member of staff is on a call rescheduling one appointment while two more calls stack up in the queue and a patient stands at the desk waiting to be seen. The reception team spends more of its day coordinating access to the practice than doing anything else — and every one of those calls is a routine question that didn't need a human: what are your opening hours, can I move my appointment, do you have anything this week.

The Rezi24 founders came to us with a problem they'd lived. In many practices, the same scenario repeats daily: the phone rings constantly, replies and inquiries need to be coordinated, and it all has to happen at once, often during the busiest clinical hours. Reception staff spend an outsized share of their day on manual data entry and call handling. Appointments booked outside 08:00–18:00 simply can't happen, which drives no-shows and lost bookings. And the information a practice runs on is scattered across paper logs, legacy software, and email — making coordination genuinely difficult.

Layered on top of all of that is Germany's regulatory environment, which is not optional and not forgiving. Patient data is among the most strictly protected categories of information under the GDPR, and German practices carry a constant, well-founded anxiety about data breaches and non-compliance. Any system handling appointment and patient data has to be built to German and EU data-protection standards from the first line of code — hosted in Germany, compliant by design, not retrofitted after a review.

And the practices Rezi24 wanted to serve are, by definition, not technical. A solution that requires weeks of training and IT support to set up or modify a simple schedule is a solution they won't adopt. Existing medical tools ask exactly that. The brief was clear: the rigour of a serious healthcare platform, set up in a form a practice team can actually run themselves.

We started where healthcare software has to start: the data-protection posture, not the features. Rezi24 operates on German data centres, is designed to GDPR standards, and treats patient data as the protected category it is. That decision shaped the architecture — where data lives, how it's encrypted, who can reach it — before any screen was designed. "Made in Germany, hosted in Germany, GDPR-compliant" isn't marketing copy bolted on at the end; it's a set of engineering constraints we built inside.

The product is a connected ecosystem rather than a single screen. Rezi24 sits as the central hub between four groups: patients booking from the public website and digital reception, the reception team fielding requests, the medical provider dashboard where practitioners manage their day, and account administration. Data and interactions flow between all of them through one system, so a booking made by a patient at 22:00 is simply there in the practice's schedule the next morning — no phone call, no transcription, no re-entry.

On the patient side, we built a public practice website with an online reception: patients book appointments themselves, around the clock, regardless of opening hours, from a page that reflects the practice's own branding. That single capability removes the largest source of routine phone traffic.

On the practice side, the provider dashboard covers the real operating surface of a medical office: services and treatments, multiple locations and departments, patient management, an internal chat for coordinating between staff, feedback, and practice news. Configuration — site customisation, departments, appointment types, availability — is handled through a structured admin UI designed for a practice manager, not an implementation consultant. Security-sensitive actions are protected with two-factor authentication. The interface ships in both German and English.

Because the target users aren't technical, the entire configuration experience was designed to be operated without developer help. A practice can adjust its schedule, add a department, or change a service without filing a support ticket. And Rezi24's own team stays involved after launch — helping with setup and continuing to assist with adjustments, new processes, and short-notice changes, so the practice never has to worry about the technical side.

The platform is offered in tiered plans — Rezi24 Core for solo and small practices, Rezi24 All Round for growing practices with multiple locations, and a larger Enterprise tier — so a single-practitioner office and a multi-location group can both run on it without paying for capacity they don't use.

Rezi24 is live as a commercial healthcare SaaS for the German market, in production at rezi24.de. It delivers on its founding promise: give a practice team an online reception, cut telephone traffic, and let patients book appointments online regardless of opening hours — while staying compatible with the appointment workflows German practices already run.

The service holds a 5.0 "Top-rated service" rating verified by Trustindex, and leads with exactly the trust signals the German market demands: hosted in German data centres, German quality and support, and GDPR-compliant data protection to EU standards. For non-technical practices, that combination — a platform they can run themselves, backed by a team that handles the technical side for them — is the difference between adopting online reception and staying on the phone.

For the client, Rezi24 is a defensible position in a large, underserved market: modern, compliant patient-facing software for practices that the enterprise health-IT vendors overlook and the generic booking tools can't serve compliantly.

For us, Rezi24 is the project we point to when a European client asks whether we understand GDPR and the German market specifically. We do — and it's also our first EU engagement, delivered end to end from concept and design through to a launched, multi-tenant healthcare platform hosted to German standards.
