How Removals Companies Lose Jobs Between Enquiry and Quote

The gap between a removals enquiry and the quote

Ask a removals firm why it lost a job and the usual answer is price. Sometimes that's true. More often the job was lost before price came into it, somewhere between the enquiry arriving and a proper quote reaching the customer.

We have spent years inside this problem building i-mve, the operations platform that now runs 523 UK removals companies. The pattern is remarkably consistent from firm to firm.

Where the gap opens

The enquiry lands in the wrong place

Removals enquiries arrive from everywhere: the website, phone calls, emails, estate agents, past customers and lead platforms. When each channel lands in a different inbox or on a different phone, some enquiries simply don't get picked up in time.

Customers moving house contact several firms at once. The first credible reply has a real advantage.

The survey details go missing

A good quote needs a survey: rooms, items, access, parking, dismantling, packing, storage. When the surveyor's notes live on paper or in a phone's notes app, the person writing the quote works from memory or waits for the notes to arrive. Either way the quote is slower and less accurate.

The quote is typed from scratch

Customer details typed from the email, inventory typed from the survey, prices worked out in a spreadsheet, then the whole thing pasted into a document. Every step takes time and invites mistakes.

Nobody chases it

The quote goes out, and then nothing. The customer is comparing three firms and a busy week later has forgotten which quote was which. A short, timely follow-up often decides the job, and it's the step most firms skip when they're busy.

What a good enquiry-to-quote flow looks like

  • Every channel lands in one place, tagged with where it came from.
  • The customer gets a quick first reply, even if the full quote takes longer.
  • The survey is recorded in the same system, so rooms, items and volumes flow straight into pricing.
  • The quote is built from the survey, using your own rates, not retyped.
  • Follow-ups happen on a schedule, not when someone remembers.
  • You can see every open quote and which source it came from.

That last point matters more than it looks. Most removals work comes through referrals and estate agents, not paid lead providers. If your system only tracks one channel, you can't see where your best jobs really come from. We wrote about this in lead providers vs referrals.

How to check your own gap

Take the last month of enquiries and answer three questions:

  1. How long did each one wait for a first reply?
  2. How long did it take to send a full quote?
  3. Which quotes were never followed up?

How fast should a removals company reply to an enquiry?

As fast as you reasonably can, and on the same day at the latest. Customers usually contact several firms at once, so a quick, personal first reply keeps you in the running while the full quote is prepared.

Can quotes be generated automatically from a survey?

Yes, if the survey is recorded in the same system as your rates. Rooms, items and volumes feed the price, and the quote is built without retyping. You still review it before it goes out.

What is the most common reason removals quotes are lost?
