Online Booking for Medical Practices: What Actually Cuts Phone Calls
A booking button alone won't empty the phone queue. What online booking needs to cut reception calls, from live availability to reminders.
Most practices that add online booking hope the phones will go quiet. Often they don't, or not by much. Patients still call, because the online system can't do what they need.
We've built booking for healthcare twice: Rezi24, an online reception for German medical practices, and Slotwise, our own booking platform for doctors, physiotherapists and dentists. Here's what makes the difference.
Show real availability
If the online calendar isn't the same as the one reception uses, patients learn not to trust it and phone instead. Online booking has to read and write the practice's real diary, with the same appointment types and lengths.
Offer the right appointment types
A patient booking a check-up, a follow-up and a new-patient consultation needs different slots of different lengths, sometimes with different clinicians. If the online system offers only "appointment", people phone to ask which one they need. Clear appointment types with short descriptions fix much of this.
Let patients do the things they phone about
Booking is only one reason people call. The others are rescheduling, cancelling, asking what to bring and confirming the time. If patients can reschedule or cancel from a link in their confirmation, a large share of calls simply disappears.
Collect the details before the visit
Intake forms sent with the booking mean reception isn't reading questions over the phone and typing the answers. Slotwise sends intake forms at booking and stores them with the appointment.
Remind people automatically
Reminders cut missed appointments and the calls that come from people unsure of their time. Send them by email or text at sensible intervals, with a link to reschedule.
Sync with clinicians' calendars
When clinicians block time in their own calendars and the booking system doesn't know, double bookings follow, and so do apology calls. Two-way calendar sync, which Slotwise has, stops this.
Handle patient data properly
Booking systems hold personal and sometimes health information. Rezi24 was built to GDPR rules and hosted in Germany for its German practices; systems for US practices are built to HIPAA rules. See HIPAA access controls for engineering teams.
Measure what changed
Count calls before and after, by reason. If rescheduling calls stay high, make rescheduling easier online. The data tells you what to fix next.

Will online booking replace our receptionist?
No, and it shouldn't try to. It takes the routine calls away so reception can focus on patients who need a person: complex bookings, worried patients and people who prefer the phone.
Can online booking work with our existing practice system?
Often, if that system has an API. Where it doesn't, a booking system with its own diary can become the source of truth. We'd look at your setup before recommending either.
